EXECUTIVE ADMINISTRATIVE ASSISTANT

 

JOB SUMMARY:

 

The Executive Administrative Assistant is responsible for providing high-level administrative support to our CEO and CFO. This role requires the ability to handle confidential information with discretion, prioritize tasks effectively, and work collaboratively in a fast-paced corporate environment.

 

DUTIES AND RESPONSIBILITIES:

 

  • Administrative support for the CEO, CFO, and staff.
  • Manage calendars, schedule appointments, and coordinate meetings, ensuring efficient use of executives' time.
  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Prepare and distribute meeting agendas, documents, and follow-up on action items.
  • Handle and prioritize incoming communications, including emails, phone calls, and correspondence.
  • Draft and proofread emails, letters, reports, and other documents.
  • Arrange domestic and international travel itineraries, including flights, accommodations, and transportation.
  • Prepare travel expense reports and reconcile expenses in a timely manner.
  • Organize and maintain electronic and physical files, ensuring easy retrieval of information.
  • Assist in the preparation of presentations, reports, and other materials as needed.
  • Coordinate logistics for meetings, conferences, and events, both onsite and offsite.
  • Arrange catering, audio-visual equipment, and other necessary resources for successful events.
  • Handle sensitive and confidential information with the utmost discretion and professionalism. Oversee office supplies and equipment, ensuring adequate stock and functionality.
  • Collaborate with other administrative staff to maintain a well-organized and efficient office environment.
  • Assist office personnel with various duties/project needs.
  • All other duties as assigned.

 

EDUCATION AND EXPERIENCE:

 

  • High School diploma required.
  • Bachelor’s or associates degree, business administration, or a similar field preferred, but not required.
  • Experience: 5+ years’ area experience.

 

TRAVEL: 

 

  • Travel Required: Possible to other plant locations or conferences as needed
  • Ability to come to local office as needed

  • Excellent verbal and written communication skills.
  • Strong computer skills, including proficiency in Microsoft Excel.
  • Organized and detail-oriented.
