Junior Project Coordinator
We’re currently seeking a Project Coordinator, Innovation to join our Headquarters team!
In this role you will possess hands-on experience supporting multiple cross-functional teams and project managers to achieve the primary deliverables defined with the stakeholders within a timeframe. Projects to support include ongoing capital facilities development projects that are aligned with the company vision and strategic objectives. This role involves monitoring budgets and expenditures, and monthly reconciliations.
What you would do:
- Support the project managers in initiating, planning, executing, tracking, and closing projects
- Collaborate with the Supply Chain team to place orders to complete the scope of the projects (If applicable)
- Keep projects schedules updated in Workfront based on the teams’ feedback
- Support the impact analysis (time, cost, quality, risks, …) when a scope change is required and share the result with the primary stakeholders based on the communication plan
- Gather project information from the team and complete the templates (Project Charter, Communication Plan, Schedule, …)
- Participate in project meetings, listen actively, and communicate assertively. Share meeting notes after each meeting including action items, responsible, and due dates
- Remain calm under pressure, act decisively, maintain flexibility to changes, and effectively manage multiple tasks in a fast-paced environment
- Financial reporting and tracking in coordination with the accounting and execution teams
- Support the internal project management process enhancement
- Logistics Coordination to include tracking of orders through collaboration with other teams and field
- Monitor all budgeted project expenditures
- Create projects progress reports, and communicate based on the Communication Plan to update the stakeholders including appropriate staff in the organization on the status of budgets and spending
How you will shine:
- Minimum of 2 years’ previous experience in a project coordination role
- Basic understanding of accounting process flows
- Excellent writing, communication, and interpersonal skills with a high level of attention to detail
- Highly organized with the ability to manage multiple projects, deliverables, and competing timelines
- Hard-working and acts with a sense of urgency to accomplish key objectives
- PMI-CAPM or similar certifications is a plus
- Ability to work effectively both independently and as part of a team
- Competency in Microsoft applications including Word, Excel, and Outlook. Experience with Workfront is a plus
- Ability to learn new tools and technology that can be scaled and benefit the whole organization
