Under the direction of the of the Bureau of Identification (B of I) Supervisor, the B of I Clerk maintains the arrest records of the Allen County Sheriff Department and completes criminal history checks, fingerprints the general public and registers parolees. This position is not covered (at-will) as defined by The Board of Commissioners of the County of Allen Employee Handbook. 

 

ESSENTIAL FUNCTIONS:

 

  • Responsible for updating the Spillman records of firearm applicants.  Runs III’s (Interstate Identification Index) to determine applicant eligibility and corresponds with the state to make sure that permits are up to date on the Spillman system.
  • Responsible for completing criminal history checks for the general public as well as other governmental agencies including, but not limited to Child Protective Services (CPS), Fort Wayne Police Department (FWPD), and probation.
  • Sorts and processes booking sheets from lock-up, add new criminal charges to rap sheets, and send the information to the appropriate departments in preparation for court.
  • Fingerprints the general public, firearm applicants, firearms dealer applicants, and court-ordered individuals.
  • Registers parolees and those on the re-entry program.  Corresponds with parole officers to verify completion.  Takes mug shots of each parolee, fingerprints, and updates the arrest records to indicate parole commitment.
  • Responsible for answering telephones and assisting office visitors including, giving out information on services provided or assisting other police agencies with information.
  • Receives, sorts, distributes, and/or responds to incoming faxes, mail, and emails.  Ensures required information is available before processing and contacts the requestors for additional information if needed.
  • Responsible for creating photo line-ups and distributing mug shots to authorized agencies including, the Prosecutor’s Office and police agencies.
  • Notarizes and certifies all official documents.
  • Responsible for continuing ongoing and new projects including, but not limited to maintaining files and checking for accuracy.
  • Processes transaction control numbers (TCN) and fingerprint requests for Misdemeanor and Felony Courts as well as other governmental agencies.
  • Scans, indexes, and files rap sheets.
  • Responsible for updating information for the deceased in Spillman and on rap sheets, and notifying the Indiana State Police (ISP).
  • Updates criminal history daily, weekly, and monthly through dispositions received from circuit, superior, and misdemeanor courts.
  • Performs all other duties as assigned, including overtime as required.

 

REQUIREMENTS:

  • High School Diploma or GED
  • Ability to obtain and maintain a valid Indiana Database and Communications Systems (IDACS) Certification within six months of employment
  • Public Notary upon hire

 

REQUIREMENTS:

  • Working knowledge of fingerprinting and tax warrants
  • Strong computer skills with the ability to use Microsoft Office and other job related software
  • Ability to use various office equipment including, multi-line phone, printer, fax, scanner, and copier

 

PERSONAL WORK RELATIONSHIPS:

 

The B of I Clerk maintains frequent contact with other county employees, other governmental agencies, firearms dealers, Morpho Trust USA, and the general public regarding fingerprinting and firearm applicants.

 

WORKING CONDITIONS:

 

The B of I Clerk works in a standard office environment requiring frequent sitting with the ability to move around freely, some standing and walking, pushing and/or pulling loads, and kneeling.  Very frequent typing including proofreading, and attention to detail is required.

LICENSING:

Ability to obtain and maintain a valid IDACS Certification within six months of employment

HOURS:

8:00 am – 4:30 pm; up to 30 hours/week
