Under the direction of the Chief Investigator, the Administrative Assistant maintains office continuity, payroll management, budgeting, billing, and meticulous upkeep of case files. Additionally, the role involves timely acquisition of medical records and ambulance reports as required by Deputy Coroners. The Administrative Assistant efficiently manages incoming phone calls, redirects requests to the Deputy Coroners, and ensures the completion of the Coroner Verdict to meet the standards set by the Chief Investigator. This position is covered under due process as defined by The Board of Commissioners of the County of Allen Employee Handbook.
ESSENTIAL FUNCTIONS:
- Completes payroll, billing, department accounting, and assists in yearly budget.
- Requests medical records, ambulance reports, and sets up Coroner Case Files.
- Responsible for maintaining office case files, database, and records. Completes the Coroner’s Verdict to the satisfaction of the Chief Investigator.
- Answers phones, takes messages, answers questions, and forwards calls to the Deputy Coroners.
- Orders supplies and maintains an inventory of office equipment.
- Completes yearly and weekly on-call schedules and updates them as changes are made.
- Performs all other duties as assigned, including overtime as required.
REQUIREMENTS:
- High School Diploma or GED, with at least one year of administrative/clerical and/or payroll experience preferred.
- Organized with a strong attention to detail and accuracy.
- Proficient in maintaining office calendars, on-call schedules, answering phones, requesting medical records and ambulance reports, and managing office files and billing.
- Competent in using computer systems, copiers, printers, and fax machines.
- Excellent verbal communication skills.
- Friendly and professional demeanor with the ability to collaborate with a diverse range of personalities.
- Demonstrated ability to maintain a high level of confidentiality for all departmental records.
- Strong computer skills, including proficiency in Microsoft Office and other job-related software, such as payroll and billing applications.
WORKING CONDITIONS:
The Administrative Assistant operates in a standard office environment, involving frequent sitting, typing, and meticulous attention to detail. The role also requires the ability to move around freely, conduct equipment monitoring, detailed inspections, and transcription/proofreading. Physical activities may include lifting up to twenty pounds, bending, pushing/pulling loads, reaching overhead, kneeling, crawling, and climbing ladders. Additionally, mental and visual effort is to be expected in this dynamic work setting.
